Job Summary

The function of the Lead Staffing Clerk is to provide communication and leadership between Staffing Clerks on all shifts and acts as a resource person for the other Staffing Clerks to insure continuity in training new employees, and carrying out Staffing Clerk related policies and procedures.

Duties

Staffing Units:

  • Implements established departmental staffing plans for Nursing Administration (Staffing Office).
  • Adjusts staffing levels according to patient acuity, census and special needs
  • Reviews staff available for current shift and next shift and anticipates needs. Revises staffing as changes occur.
  • Accepts and logs phone calls regarding illness and personal emergencies and replaces staff as needed. Notifies department Nurse Manager of any trends or patterns being established.
  • Logs messages regarding availability of staff or necessary changes in schedules.
  • Understands staffing policies in regards to scheduling and time off requests and abides by them.
  • Calls staff as needed in a timely manner and does so according to policy.
  • Consults Nurse Managers as resource for staffing concerns or questions.
  • Completes regulatory staffing reports (hours per patient day).
  • Reviews schedule and attendance in identified software, updating and revising as indicated.
  • Uses identified methods for adding new staff into staffing software.
  • Uses identified methods for removing terminated staff from the staffing software program.
  • . Acts as a resource for all staffing software-related questions.

Bed Control: Arrange for patient bed assignment

  • Ensures that patient bed assignments are appropriate based on needs of patient, skills of staff, infection control policies and preferences of Physician.
  • Communicates with charge nurse for appropriate placement of patient
  • Considers qualifications and availability of staff in determining bed assignment.
  • Has knowledge of respiratory isolation rooms and which diagnosis require respiratory isolation.
  • Accurately completes admission/non-scheduled procedure form and distributes copies appropriately. Notifies appropriate staff for add-on or emergent procedures.

Bed Control: Responds appropriately to maximum bed capacity

  • Considers alternative bed assignments (i.e. ICU, OB) when Medical Surgical Units are full.

Communication

  • Communicates effectively with Nurse Managers, nursing staff, other departments and Vice President of Nursing.
  • Notifies Supervisors of changes in census or staffing as it occurs.
  • Notifies staff of changes in schedules and approval or denial of requests for time off in a timely manner.
  • Acts as a resource for staff’s questions regarding staffing and scheduling.
  • Notifies appropriate departments of admissions, discharges and transfers.
  • Discusses problems regarding staffing and scheduling with Nurse managers.
  • Teaches new staff how to use staffing-related software programs.

Management Skills

  • Provides direction, in real-time, to other staffing clerks. If necessary, consults with Nursing Supervisor or VP of Nursing for additional direction.
  • Approves/denies all vacation requests for the staffing office.
  • Creates schedules monthly with approved vacations, and communications with staff for schedule changes.
