Job Summary

The Executive Assistant carries through to completion, specific work projects assigned by the Chief Executive Officer, Chief Operating Officer, and Executive Assistant/Director of Physician Recruitment Services relative to the operation of the hospital, patient services, physician services, departmental services, clinic services, and all hospital-wide offices. 

Duties

  • Assembles data relative to various phases of overall hospital activities, performs responsively other duties and responsibilities as assigned.  Investigates and advises in terms of cost and services associated with assigned projects.  Develops effective office system and processes for handling the day-to-day office detail.  Assists any department manager or supervisor in retrieving information, assembling data, and compiling and preparing reports as requested.  Completes all work assignments efficiently, accurately and in a timely manner. 
  • Assists department managers and supervisors regarding hospital and departmental regulations, procedures, and policies, as well as special programs and individual endeavors.
  • Acts as recording secretary for various committee meetings; able to accept oral dictation, transcribe dictation, compose correspondence, make appointments, screen visitors, screen telephone calls, and provide assistance wherever needed.
  • Maintains an efficient and comprehensive office filing system.
  • Performs other duties as assigned

Responsibilities

Administration:

  • Cover for the Executive Assistant, Director of Physician Recruitment Services in all roles, preparation of agendas and minutes for Board of Trustees meetings, Corporate Membership meetings, Managers meetings, and miscellaneous meetings at the discretion of the Chief Executive Officer and Executive Assistant, Director of Physician Recruitment Services.
  • Schedule yearly Board of Trustees Audit Committee and preparation of agenda and minutes.
  • Schedule General Staff Meetings quarterly or as requested by the Chief Executive Officer and preparation of agenda and minutes.
  • Reconcile invoices for appropriateness.
  • Schedule monthly hospitalist calendar with each individual physician; distribute monthly hospitalist calendar to physicians, allied health professionals, and appropriate departments.
  • Work with locum tenens agencies to identify potential candidates.
  • Calculate and prepare monthly check requests for hospitalist payroll.
  • Schedule and distribute monthly surgeon on-call/trauma-call calendar.

Risk Management:

  • Assists the Chief Operating Officer/Risk Manager by communicating with the hospitals insurance carriers, claims representatives, and legal counsel regarding potential, pending, and active litigation. 
  • Assists the Chief Operating Officer/Risk Manager through the litigation process by reviewing, answering, and preparing interrogatories, production of documents, providing policies and procedures, and medical records to hospital council.  Coordinates conference calls, meetings, and depositions with physicians and personnel. 
  • Acts as primary contact as recipient of hospital-wide subpoenas, litigation and personnel related for appropriate processing. 
  • Assists the Chief Operating Officer/Risk Manager with tracking and trending of Medical Event Reporting System (MERS) reports as requested. 
  • Assists the Chief Operating Officer/Risk Manager by reviewing all MERS reports regularly for high profile occurrences, corrects misdirected MERS reports, and maintains current MERS user accounts. 

Medical Staff Office:

  • Cross-trained to act as coverage for the Medical Staff Office. 
  • Assists the Medical Staff Coordinator with initial credentialing and re-credentialing of physicians and allied health professionals.

  • Lifting requirements: Sedentary - generally lifting not more than 10 Ibs. maximum and occasionally lifting and/or carrying such articles as ledgers, files, and small items.
